How to Make Networking Easier for Your Conference Attendees!

One of the main reasons people go to a seminar, trade fair, training or a conference is to network with other professionals in their industry.

Why not make it easier for them to share their contact numbers by putting up all the necessary contact  details they have: name, phone numbers, mobile numbers, fax, office addresses, e-mail addresses, official company website URLs, and even social media account URLs.  

This would come in handy in the event that they run out of business cards to give out or simply forgot about it.  

Or perhaps, you want your participants to have a simpler way to store their new contact’s details into their smartphones, which they could later sync with their office computers.

Here is where the QR codes come in handy.  You could include QR codes on the name tags that you provide all your attendees.  In their conference materials, you could include a brief introduction to QR codes and how to scan them.

More than the convenience, we believe that it’s a good conversation started to help break the ice as well.

You might think that it is a pain to create different QR codes for each of your attendees.  What if they reach more than 100, or more than 500?  What do you do?

1. Get your VCF files ready!  

Chances are you are going to have your list of conference attendees in an Excel file.  Find software that converts Excel entries into individual .vcf cards and upload them to your own server.

Alternatively, you could ask your attendees to send in their own .vcf cards as well.

2. Create a comma-separated file text file.

You basically need to create a text file and save it into a CSV file format.  

You can use Microsoft Excel or any spreadsheet program for this

a. Create two columns. The first would have your participants’ names and then the second column would have the URL to their own VCF files.

b. Using the Save As function, change the file type to Text CSV (comma-delimited format).  Make sure you choose “,” as the separator.

3. Upload to QRCodeTracking.com!

a. Log into your account at QRCodeTracking.com.  If you have not done so, create a Group and a Campaign for your conference attendees.

b. Go to the Codes tab and then click on the Import Codes button.

c. You will be taken to this form, upload your CSV file and choose QR code.  Then click on submit.

d. You will be taken to a confirmation page, which will now list your QR codes!

4. Download your codes.

Now all you have to do is to download and print your codes along with the conference tags.

a. Go to the Mass Export tab and then call up your Group and Campaign.

b. You will be shown a list of available code, tick on the codes you want to download.

c. Choose what format your want the code to be in from the drop down box located at the top right part of the page next to the Generate Codes button.

d. Click on the Generate Codes button.  You will receive the QR codes in one zip file!
